Volunteer sign-in with time in and time out

To run volunteer sign-in with AttendPad, post a QR code where volunteers arrive. They scan it, enter their name, and tap Check In; when they leave, they scan again and tap Check Out. Every visit is recorded with a time in and time out, so you can export a CSV and total volunteer hours in a spreadsheet.

How to set up volunteer sign-in

  1. 1

Create a room for your volunteer site

Use open mode for drop-in volunteers or roster mode for a regular team. Set your operating hours and turn on auto-checkout so forgotten check-outs are closed at closing time.

  2. 2

Post the QR code at the volunteer desk

Print it on a sign or set a tablet in kiosk mode (Pro) at the entrance.

  3. 3

    Volunteers check in and out

Each arrival and departure is timestamped. Add a notes field labeled "Task" or "Shift" to record what each person worked on.

  4. 4

    Export hours

Export check-in and check-out times to CSV and total them per volunteer for grant reports or recognition.

Shifts, drop-ins, and one-day events

Use a room for ongoing volunteering — a food bank, a thrift store, a weekly program — where volunteers come and go and you need time in and time out. Use a sheet for a single event, like a cleanup day or a fundraiser, where you only need to know who showed up.

Signatures and waivers

Rooms can require a digital signature at check-in, check-out, or both (Pro), which is useful when volunteers must attest to their hours. Sheets capture digital signatures on every plan. Signatures are an attestation of attendance, not legal identity verification.

Frequently asked questions

What should a volunteer sign-in sheet include?

At minimum: the volunteer's full name, the date, time in, time out, and a signature. Many organizations also record contact details and the task or shift worked. AttendPad records name, date, and time in/out automatically, with optional email, phone, notes, and signatures.

How do I track volunteer hours?

Use a room so volunteers check in on arrival and check out when they leave. Export the room's history to CSV — each row has the check-in and check-out time — and total the hours per volunteer in a spreadsheet.

What if a volunteer forgets to check out?

Turn on auto-checkout and open entries are closed at your closing time, marked as an automatic check-out so you can tell them apart.

Is there a free volunteer sign-in option?

Yes. The free plan includes 1 room and 3 active sheets with QR check-in and CSV export, no credit card required. Pro adds kiosk mode, check-in/out signatures, and unlimited rooms.

Do volunteers need an account?

No. Volunteers scan the QR code and use their phone's browser. Only the coordinator needs an AttendPad account.
