QR Attendance

QR Code Attendance — Zero Setup, Zero Apps

Generate a QR code, share it, and watch attendees check in live. No app downloads, no hardware, no manual data entry. Free forever for small events.

Field encryption No app required Free forever tier

How it works

1. Create a sheet

Name it, set your fields, activate it. Takes 30 seconds.

2. Share the QR code

Print it, project it, or share the link. Attendees scan with any phone camera.

3. Watch check-ins live

Names appear on your dashboard in real time. Export to CSV or PDF when done.

What is QR code attendance?

QR code attendance replaces paper sign-in sheets with a scannable code. Attendees point their phone camera at the code, the camera opens a check-in form in their browser, they fill it in, and their attendance is recorded — all without downloading an app.

It's the modern alternative to clipboards, spreadsheets, and roll-call. You get real-time visibility into who's arrived, automatic timestamps, and a clean export when the event ends. No manual data entry, no lost forms, no transcription errors.

Step-by-step setup

Five steps from setup to export. The whole process takes under a minute once you're familiar.

  1. Create an attendance sheet. Give it a name, set the fields you need (name, email, custom fields, signature), and pick the date and time.
  2. Activate the sheet. A unique QR code and check-in URL are generated instantly.
  3. Share the QR code. Print it on signage, project it on a screen, or share the URL by email or text.
  4. Attendees check in. They scan with their phone camera and fill in the form. No app, no account required.
  5. Export your records. Download a CSV or PDF when you're done. All data is timestamped and stays encrypted at rest.

QR vs. kiosk vs. manual check-in

AttendPad supports all three methods on every sheet. You can mix them — for example, QR for early arrivals and kiosk for walk-ups. Here's when each shines:

QR code

Best when attendees have their own phones. Self-service, zero hardware, scales to any crowd size.

Kiosk mode

Best for fixed-entry events. Set a tablet at the door; attendees tap their info in.

Manual entry

Best when you have a known roster. Admin marks attendance directly from the dashboard.

QR code check-in and check-out

A one-way scan answers "who came?". Plenty of places need the harder question — "who is here right now, and how long were they here?". That needs two scans: one in, one out.

AttendPad handles this with Rooms rather than sheets. A Room is a permanent space — an office, a classroom, a shelter, a gym — with one QR code that never changes. You print it once and mount it at the door. People scan it when they arrive and scan the same code when they leave, and the room keeps a running record of who is currently present, when each person arrived, when they left, and total time on site.

Because the code is persistent, you don't create anything new each day. Attendance rolls over automatically at midnight and each day gets its own record in the room's history.

Time-in / time-out

Both timestamps are recorded against the same person, so duration is calculated for you. Exports include arrival, departure, and total hours.

Automatic checkout

People forget to scan out. Set a closing time and anyone still marked present is checked out automatically, so tomorrow's roster starts clean.

Live occupancy

The manage page shows who is currently on site, updating as people scan. Useful for capacity limits, fire-safety roll calls, and shift handovers.

Overnight sessions

For 24/7 spaces like shelters, dorms and care facilities, a stay can carry past midnight and stay open until the person actually checks out, instead of resetting at the calendar boundary.

Not sure which one you need? Sheets are for events with an end. Rooms are for places that keep operating. The daily check-in rooms guide walks through the difference in more detail.

How to generate a QR code for attendance

You don't need a separate QR code generator. Generic generators produce a code that points at a static URL — they can't record who scanned it, so you still need somewhere for the data to land. AttendPad generates the code and owns the record behind it.

When you activate a sheet or create a room, the QR code is generated automatically and tied to that specific record. You can download it as a PNG at print resolution, or copy the check-in link if you'd rather send it by email, Slack, or text message.

Practical notes for printing: A5 is large enough for a code people scan from arm's length, A4 or bigger if they'll scan from a queue. Keep the white margin around the code — trimming it too close is the most common reason a scan fails. Matte paper beats glossy under bright entrance lighting.

Getting the data into Excel or Google Sheets

Plenty of people run QR attendance specifically to stop typing names into a spreadsheet by hand. Every sheet and room exports to CSV, which opens directly in Excel, Google Sheets, Numbers, or anything else that reads a spreadsheet.

The export includes every field you collected, plus timestamps in your chosen timezone, late-arrival flags, and — for rooms — check-out times and total duration. Signatures export as a separate column, and photo verification images are referenced per row.

If your reporting needs a document rather than a spreadsheet, PDF export produces a formatted attendance report with totals and your branding on it.

CSV — every tier

Unlimited exports, all fields, no row cap. Included on the free tier.

PDF report — Pro

Formatted report with totals, timestamps and optional logo, for compliance files and funder reporting.

Branded QR codes and photo verification

If the check-in page is the first thing a visitor sees, it usually needs to look like it belongs to you rather than to us.

White-label check-in

Put your logo in the centre of the QR code itself, set your brand colour on the check-in page, and remove AttendPad branding entirely. Attendees see your organisation, not ours.

Photo verification

Optionally capture a photo at the moment of check-in, so a record can be tied to a face. Used where attendance is tied to funding, compliance, or safeguarding.

Both are Pro features. Related reading: digital attendance sheets, electronic sign-in for events, and free sign-in software.

Where QR code attendance fits

Events & conferences

Register attendees at the door without a queue. Run an unlimited number of sessions in parallel — each with its own QR code.

Classrooms & training

Instructors get a roster in real time and a permanent record without the clipboard. Late-arrival tracking flags anyone who checked in after the start time.

Workshops & seminars

Capture name, email, and signature in one scan. Export the list for follow-up or compliance reporting.

Churches & community groups

A free tier covers small recurring events. Add custom fields for visitor info, ministry interest, or small-group sign-ups.

Security & privacy

Attendance data often contains personal information — names, emails, phone numbers, signatures, sometimes photos. AttendPad treats it accordingly.

  • AES-256 field-level encryption. Sensitive fields are encrypted before they hit the database, not just in transit.
  • Row-level access control. Every database query filters by account ownership — your data is never visible to other organizations.
  • Audit logs. Every read, edit, and export is logged with timestamp and user.

Full details are on the security page.

Free forever, with optional upgrades

The free tier covers 3 active sheets with unlimited check-ins, QR codes, CSV export, and the full dashboard. The Pro tier ($9/month or $79/year) adds kiosk mode, photo verification, PDF export, team admins, custom branding, and email notifications.

Frequently asked questions

Do attendees need to download an app to scan the QR code?

No. Every modern smartphone camera reads QR codes natively. Scanning opens a browser-based check-in form — no app install, no account, no friction.

Can I take QR attendance for free?

Yes. The free tier includes 3 active attendance sheets with unlimited check-ins, QR codes, and CSV export. No credit card required.

What information can I collect with QR attendance?

Name (always required), plus any combination of email, phone, organization, custom text fields, multiple-choice questions, and digital signatures. You decide which fields are required.

Does QR attendance work offline?

The QR code itself can be printed and displayed without internet. Attendees need a connection to submit their check-in, since the data is sent to the dashboard in real time.

Can I use one QR code for multiple events?

Each sheet has its own unique QR code tied to that sheet. For a recurring weekly event, use a Room instead — Rooms give you one persistent QR code with daily check-in records.

How do I prevent someone from checking in multiple times?

Each sheet supports duplicate detection by email or phone, plus optional photo verification on the Pro tier. You can also enable kiosk mode for a supervised, single-tap check-in flow.

Can I export my attendance records?

Yes. CSV exports are included on every tier. PDF exports are a Pro feature and include a formatted attendance report with totals, timestamps, and optional branding.

Is QR attendance compliant with privacy regulations?

AttendPad uses AES-256 field-level encryption, row-level access control, and audit logs. We don't sell data and follow GDPR principles for data minimization, retention, and deletion.

Can I customize the check-in form for my event?

Yes. Add custom fields (text, email, phone, dropdown, signature), set which fields are required, and tailor the form to your event. Pro accounts can add branding (logo, colors) to the check-in page.

Does QR attendance work for large events?

Yes. There's no cap on check-ins per sheet on any tier. Multiple attendees can scan and check in simultaneously without queueing — each scan is independent.

What happens if someone arrives late?

Set a late threshold on the sheet (for example, 10 minutes after start time). Anyone checking in after that is flagged 'late' in the dashboard and the export.

Can I take attendance with QR codes and a paper sign-in sheet at the same event?

Yes — use kiosk mode or manual entry on the same sheet to capture attendees who can't or won't scan. All three methods feed into the same record.

Can one QR code handle both check-in and check-out?

Yes, using a Room instead of a sheet. A Room has a single permanent QR code: people scan it to check in and scan the same code to check out. Both timestamps are recorded against the same person and total duration is calculated automatically.

How do I track attendance using QR codes?

Create a sheet (for a one-off event) or a room (for recurring daily attendance), activate it to generate the QR code, then print or share that code. Each scan opens a browser check-in form and writes a timestamped record you can view live and export to CSV or PDF.

Can I use QR code attendance with Excel?

Yes. Every sheet and room exports to CSV, which opens directly in Excel, Google Sheets or Numbers. The export includes all collected fields, timestamps in your timezone, late flags, and — for rooms — check-out times and total duration.

Do I need a separate QR code generator?

No. Generic QR generators create a code pointing at a static URL, with nowhere for the check-in data to land. AttendPad generates the code and stores the attendance record behind it. You can download the code as a print-resolution PNG.

Can I white-label the QR attendance page?

On the Pro tier, yes. You can place your logo inside the QR code, set your brand colour on the check-in page, and remove AttendPad branding, so attendees only see your organisation.

Can attendance carry past midnight for overnight stays?

Yes, with overnight stays enabled on a room. A session stays open past the calendar boundary until the person actually checks out — built for shelters, dorms and 24/7 care facilities rather than resetting at midnight.
