Daily Check-in Rooms: A Complete Guide

Event sheets work great for one-off occasions — a workshop, a conference, a training session. But what about daily attendance? An office, a coworking space, a classroom, or a community center where the same people check in every day?

That's where daily check-in rooms come in. A room is a persistent attendance space that tracks who's in, who's out, and when — every single day. Here's everything you need to know about setting one up.

Rooms vs Sheets: What's the Difference?

The key distinction is simple:

  • Sheets are for one-time events. Create it, collect check-ins, export the data, done.
  • Rooms are for daily use. They persist across days, track time-in/time-out, and build up attendance history over time.

A room gives you a running record: who checked in today, when they arrived, when they left, and how that compares to yesterday, last week, or last month.

Two Modes: Open vs Roster

Open Mode

Anyone can check in by entering their name and optional contact details. This is ideal for coworking spaces, community centers, or any environment where you don't know exactly who will show up each day. People fill in a quick form and check in. When they leave, they check out.

Roster Mode

You pre-define a list of members. When it's time to check in, members see their name on a list and just tap it. No typing required. This is perfect for offices, classrooms, or teams where the same group of people checks in daily.

Roster mode also supports personal PINs — each member can have their own PIN to prevent someone else checking them in. This is useful for compliance scenarios where you need to verify identity.

Setting Up a Room

1. Create the room

From your dashboard, click "New Room." Give it a name (e.g., "Main Office" or "Room 204"), choose your mode (open or roster), and set the timezone.

2. Set operating hours

Define when the room accepts check-ins. You can set a simple start/end time (e.g., 8 AM - 6 PM) or create per-day schedules for different days of the week. You can even enforce operating hours so check-ins are blocked outside those times.

3. Configure auto-checkout

Enable auto-checkout so anyone still checked in at a certain time (e.g., 6 PM) gets automatically checked out. This prevents "ghost" check-ins from people who forget to check out.

4. Add members (roster mode)

If using roster mode, add your members. You can enter them one by one or import from a CSV file. Each member can optionally have a personal PIN for secure check-in.

5. Share the QR code

Just like sheets, every room gets a unique QR code. Print it and post it at your entrance, or share the check-in link digitally. You can also set up kiosk mode on a tablet at the door.
